Sedan, MPV and van examples for private transfer passenger and luggage planning

VALETRA VEHICLE GUIDE · PASSENGERS & LUGGAGE

Choose Your Private Transfer Around People and Bags

Private transfer luggage capacity matters just as much as the number of passenger seats. A vehicle that suits five people on a city outing may need a different arrangement when those same travellers bring checked suitcases, cabin bags and a stroller.

When comparing a sedan, MPV or van, start with the complete travel load: every passenger, every bag and any bulky item. Then consider the actual seat layout and your route. A luxury interior, a model name or the vehicle’s advertised seating alone does not tell you whether your group and luggage will fit together.

This guide helps you prepare those details before requesting a private transfer with Valetra. The capacity figures below are planning examples for selected vehicle arrangements, not manufacturer specifications or a guarantee for every vehicle bearing the same model name.

Count Passengers and Luggage Separately

State the total number of people travelling, including children, and list luggage separately. In the table below, passenger figures exclude the driver. A child-seat request still affects the seating arrangement and should be declared before booking.

For bags, separate large checked cases, medium suitcases, cabin cases and small personal bags. Give approximate dimensions if you are unsure, including wheels and handles. Two bags described as “suitcases” can have very different storage needs.

  • Passengers: adults and children, with any child-seat requirements.
  • Suitcases: quantity and approximate size for each group of cases.
  • Personal bags: backpacks, laptop bags and other items travelling with you.
  • Bulky items: folded strollers, mobility aids, golf bags, presentation materials or other equipment.
  • Return load: extra shopping or luggage that may be added before the return trip.

Do not assume an unused-looking seat or aisle is luggage storage. Ask the team to assess a suitable arrangement for the full load.

Sedan, MPV and Van Capacity: Planning Examples

The following are Valetra’s planning allowances supplied for these examples. Luggage counts are indicative: they do not mean that the stated number of large checked suitcases will fit in every configuration. Share actual bag sizes before payment.

Domestic private-transfer capacity planning examples
Vehicle example Passengers, excluding driver Indicative luggage allowance What to check
Sedan — Toyota Vios or similar Up to 3 2 bags Suitcase dimensions and any additional personal bags
MPV — Toyota Innova or similar Up to 5 2–3 bags Whether passengers and all cases fit in the confirmed layout
Hyundai Staria Up to 7 4 bags Seat configuration, bag sizes and bulky items
Toyota Vellfire Up to 5 3 bags Captain-seat or pilot-seat layout and usable luggage space
14-passenger van — Toyota Hiace / Placer example Up to 14 12 bags Actual van configuration and the full group’s luggage sizes

Use this as a starting point: the available category, assigned model and final passenger/luggage fit must be confirmed for your booking. These model examples are not a promise of model selection and do not establish availability for Singapore pickup or a cross-border route.

Booking-category names and model examples are different things. The Valetra website currently lists Innova among Economy MPV examples, Staria/Starex under Standard MPV and Vellfire/Alphard under Luxury MPV. Check the category and capacity shown for your actual quote; the broad “MPV” label in this article does not replace that booking information.

A Visual Guide to the Vehicle Categories

Use these category images to recognise the general vehicle choices, then compare the model-based planning examples. A category image may show a different model from the capacity example; it is not a seating diagram or a measurement of luggage space.

All passenger counts exclude the driver. Bag counts are indicative and depend on suitcase size and the confirmed layout. These are domestic planning examples; cross-border availability is assessed separately.

Standard Sedan

Capacity example: Toyota Vios or similar

Up to 3 passengers · 2 bags

A starting point for smaller parties with light luggage. Check suitcase sizes and all personal bags.

Economy MPV

Capacity example: Toyota Innova or similar

Up to 5 passengers · 2–3 bags

Consider the full family load, including cabin cases and folded strollers. The exact model and layout must be confirmed.

Standard MPV

Capacity example: Hyundai Staria or similar

Up to 7 passengers · 4 bags

Compare the available seating and luggage space together. Different models within the category can have different layouts.

Luxury MPV

Capacity example: Toyota Vellfire or Toyota Alphard

Up to 5 passengers · 3 bags

A premium seating request still needs a luggage check. Captain seats or pilot-style seats do not automatically mean extra storage.

Tour Van

Capacity example: 14-passenger Hiace / Placer planning example

Up to 14 passengers · 12 bags

Useful to assess for larger groups. Confirm the actual van layout and suitcase sizes; this is not a guarantee of space for 12 large cases.

When a Sedan May Be Enough

A sedan can be a practical starting point for a solo business traveller, a couple or a small party travelling with a modest amount of luggage. It can also suit a direct hotel-to-office journey where passengers are not carrying airport cases.

Check the bags as carefully as the headcount. Three passengers with two suitable cases may be a different request from three passengers with three large checked cases and cabin bags. If the load goes beyond the planning allowance, send the details for assessment rather than assuming the boot will take the extra items.

For airport travel, include all items from the flight. The number of bags checked with the airline is not necessarily the total number that needs to travel in the car.

When to Consider an MPV

An MPV may suit families or smaller groups who need a different balance of seating, boarding access and luggage space. However, MPVs vary in size and layout. An Innova example, a Staria and a Vellfire should not be treated as interchangeable capacity promises.

If some luggage space depends on folding a seat, that seat is no longer available for a passenger on the same journey. Ask the team to assess the seating and storage together, especially when your headcount is close to the planning allowance.

For a family trip, mention the stroller’s folded dimensions and any requested child seat. For business travel, include presentation cases or other items that would not appear in a simple suitcase count.

Do Luxury Pilot Seats Mean More Capacity?

Luxury MPVs may offer individual captain seats or pilot-style seats with armrests and leg rests. These features can change how cabin space is used. A spacious-looking interior does not automatically provide more seats or a larger luggage area.

If a particular seating style matters, raise it before payment and ask what can be confirmed. Photographs may illustrate a model or configuration; they do not by themselves guarantee the interior of the assigned vehicle.

For a Vellfire request, share the passenger count, suitcase sizes and any preference for seating space together. The team can then assess the available arrangement rather than relying on a photograph of an empty cabin.

When a Van or More Than One Vehicle May Suit the Group

A van may be worth considering when the group or luggage load exceeds the suitable MPV arrangement. It can help keep a family party, project team or event group together, subject to the vehicle and route being available.

The term “van” still covers different seating and storage layouts. A vehicle described by its maximum passenger seating does not automatically carry the same number of large suitcases as passengers. Confirm the actual layout and complete load.

For example, a group of 12 people bringing 12 suitcases should send suitcase sizes for assessment. The bag count alone is not enough to confirm that the van example in the table is suitable. A different configuration or more than one vehicle may be needed.

If your party splits into two vehicles, decide which passengers travel together and make sure every bag has an assigned vehicle. Provide each group’s contact and journey details.

Examples: The Same Headcount Can Need Different Vehicles

These examples show what to ask before booking. They are assessment scenarios, not confirmed allocations.

Passenger and luggage assessment scenarios
Travel group Why headcount alone is insufficient What to send for assessment
2 adults with 2 suitcases The cases may differ substantially in size Case dimensions and any cabin bags
4 adults and 1 child with a stroller The stroller and any child-seat request affect usable space All passenger details, folded stroller dimensions and bags
5 business travellers with 5 checked cases An MPV passenger allowance does not confirm space for 5 large bags Complete load and any preference for travelling together
7 travellers on a city outing Light day bags differ from airport luggage for the same party Actual bag list and the day’s itinerary
12 travellers after hotel checkout Every passenger may now have luggage to store Suitcase sizes, pickup address and onward destination

The best time to resolve a space question is before payment, when the vehicle request can still be assessed against the complete plan.

Strollers, Mobility Aids and Other Bulky Items

Declare items that do not pack like a standard suitcase. A folded stroller, wheelchair, golf bag or equipment case can change the suitable arrangement even when the passenger count is low.

  • Provide approximate dimensions in the form in which the item will travel.
  • Say whether it folds or separates, and identify any separate components.
  • Describe boarding or transfer assistance needs before quotation.
  • For a child seat, provide the child’s details requested by the team and wait for confirmation of the arrangement.

Transporting a folded mobility aid does not establish that a vehicle is wheelchair accessible or suitable for travel while seated in a wheelchair. Explain the requirement so the team can assess suitability. Special equipment and assistance should not be assumed unless confirmed.

Check Route Availability After Checking Capacity

A vehicle that suits a domestic journey in Malaysia is not automatically available for a Singapore pickup or Malaysia–Singapore transfer. Vehicle availability and the appropriate operating arrangement must be checked for that route.

Use the eligible options shown for your booking or ask Operations to confirm. This capacity guide is not a list of vehicles approved for every cross-border journey.

A Simple Message to Send Before Booking

Example enquiry: We need a private transfer from our Johor Bahru hotel to Senai Airport on [date] at [time]. We have 4 adults and 1 child, 2 large suitcases, 2 cabin cases and 1 folded stroller. The approximate sizes are [dimensions]. We also need [child-seat or other requirement]. Please advise a suitable vehicle for everyone and all items together.

Replace the example with your actual addresses, passengers, bag list and requirements. If the return load will be different, explain that separately.

Send uncertain or bulky-item requests through LIVE Chat on the Valetra main page. For a straightforward journey, enter the route and travel details online and review the available category and quote.

Booking Window and Confirmation

Standard bookings: book at least 12 hours before pickup. You can arrange future dates well ahead, especially when the party needs a particular seating or luggage arrangement.

Short-notice requests: during 8:00 AM–9:00 PM Malaysia time, requests with at least 2 hours before pickup may enter pre-approval. Operations checks vehicle and driver availability and must approve before payment becomes available. Successful payment confirms the booking. Outside these hours, pre-approval is unavailable and the standard 12-hour requirement applies.

Booking Confirmation is emailed after successful payment. Driver and vehicle details follow separately in the Departure Slip, normally no later than 12 hours before travel. Approved urgent bookings within 12 hours are coordinated within the available lead time.

If you add passengers, bags or bulky items after booking, contact the team promptly. A change may need a different vehicle, a revised quotation and approval; do not assume extra space will be available at pickup.

Frequently Asked Questions

Do the passenger figures include the driver?

No. Passenger figures in this guide exclude the driver. Tell the team the total number of travelling passengers, including children, and declare any child-seat requirements before booking.

How many passengers and bags can a sedan take?

The Toyota Vios or similar sedan example uses a planning allowance of up to 3 passengers and 2 bags. Bag sizes and additional personal items still need to be checked for the actual booking.

How many bags can an Innova, Staria or Vellfire take?

The planning examples are Innova or similar: up to 5 passengers and 2–3 bags; Staria: up to 7 passengers and 4 bags; Vellfire: up to 5 passengers and 3 bags. Passenger counts exclude the driver. These are indicative allowances, not guarantees for every bag size or seat configuration.

Does a 14-passenger van fit 14 large suitcases?

Do not assume it does. The van example in this guide uses up to 14 passengers and an indicative 12-bag allowance. Actual fit depends on the van configuration and bag sizes; send the full load for assessment.

Does a luxury MPV always have more luggage space?

No. Captain seats, pilot-style seats and other interior layouts can use space differently. Confirm the passenger and luggage arrangement rather than choosing only by the luxury label or a photograph.

Should I include cabin bags and backpacks in the luggage list?

Yes. List checked suitcases, cabin bags, backpacks and bulky items separately, with approximate dimensions where needed. The complete load matters more than the number of airline checked bags alone.

Can I bring a stroller or mobility aid?

Declare the item, its folded dimensions and any boarding needs before quotation. Suitability must be assessed. Carrying a folded mobility aid does not mean the vehicle is wheelchair accessible or suitable for an occupied wheelchair.

What if we need a child seat?

Request it before booking and provide the details needed for the team to assess the arrangement. Availability must be confirmed, and the child seat affects usable seating. Do not assume it is included in a private or shared service.

Are all the vehicles in this guide available for Singapore pickup?

No. The domestic capacity examples do not establish availability for Singapore pickup or a cross-border route. Select an eligible option shown for the journey or ask Operations to confirm the appropriate vehicle arrangement.

How early should I book my private transfer?

Standard bookings require at least 12 hours before pickup. During 8:00 AM–9:00 PM Malaysia time, requests with at least 2 hours before pickup may enter pre-approval. Operations must approve before payment, and successful payment confirms the booking. Outside these hours, pre-approval is unavailable.
